If you have a business phone you will want to make sure anyone who calls hears a message that makes your business sound competent and capable. Your message may also need to impart some additional information. Here is some basic information on record a professional phone message.

1. Your first step is to jot down what you want any caller to know. Tell them the name of the company so they will know they have the right number. Make sure you let them know your really DO want to talk with them and will call back as soon as you can. Include your telephone number even though they probably already have it if they called you in the first place. And if there is some information they need to know about your company like unusual business hours or specifically what your service or product does, make sure you include it in your message.


2. Then write down what you want to say so you don't digress or forget something you need to include when recording the message.


3. Make sure you speak clearly into the microphone. A muffled message is not only difficult to understand, it sounds unprofessional.


4. Keep your message short and concise. Meandering messages will take up your caller's precious time. You can sound friendly and warm, but don't try to sound like you are interested in a friendship when your focus should be on your product or service. Stick to the point and feel free to sound caring, but above all, professional.


5. If you have a strong language accent or vocal issues, have a friend record your message so the voice is clear, friendly and business-like. It doesn't matter whose voice is on the recording. What does matter is that you leave a good first impression that can't be misread or misinterpreted.
